Access Systems Ltd. is a Canadian owned and operated company founded in May
1980. Our facilities are located at 1370 Wallace Road Units 1 through 5,
Oakville Ontario. In addition to providing a variety of microfilm and imaging
services we also market high density paper filing equipment as well as file
folders and colour coded labels.
At Access there are two types of electronic information (data) gathered. The first type of electronic data is the accounting information entered into our password protected accounting system. This information is only used for sales and accounting purposes and is not shared with any other organizations. The second type of electronic information we gather is for clients that require cross-reference indexes that are used to assist in the retrieval of documents that have been microfilmed and/or imaged. In most cases this information the client requires to be captured is a unique identification number such as a patient of account number used by our client to identify their documents. This information is entered into databases used by Access and is delivered to clients as delineated text files. The delivery of these delineated text files is done via email attachments, encrypted emails or by hand delivered electronic media.
At Access we dedicate ourselves to protecting the documents provided by our clients for conversion to microfilm and/or image from the time we pick them up until the time they leave our possession. For many of our clients, after the paper documents are converted to microfilm and/or image, the paper document is destroyed and recycled. It should be noted that no documents are destroyed without the prior written consent of the client. Our current method of destruction is in conjunction with a large paper destruction/recycling company that is NAID (National Association for Information Destruction) “AAA” certified. This means that the utmost security measures are taken in the transportation as well as the destruction of the paper documents.
